How to organize my first event?

Our event management tools enables organizers to handle every aspect of their event. For assistance, please contact us through any of our available support channels.

Here's a simplified guide to help you through the process:

  1. Start on My events page: This is where you'll create your new event.
  2. Set Event Dates: Inform participants of the event's timeline.
  3. Write a Compelling Description: Share what makes your event unique and why competitors should join. Add supplementary regulations, if needed. How do the payments and entry fees work?
  4. Create Your First Track: This could be a roadbook or GPX trail.
  5. Plan the Itinerary: Outline the journey, including classes and sections, and specify which classes will navigate through which sections.
    • Create at least one Class: Cater to diverse skill levels and vehicles by setting up various competition classes.
    • Create at Least One Section: Also known as a "timed section", "selective section", "special stage", "special section" or "selective stage".
    • Assign Sections to Classes: Link your sections to the appropriate classes.
  6. Review and Update Penalty Rules: you can update them at any time, results&penalties will be instantly recalculated.
  7. Switch Event Visibility to "Public": This final step puts your event on the RoadbookRally Events page for all to see and join. Feel free to share the event link far and wide to attract competitors. You will get email notifications about new registrations.

Before and/or on the day of the event:

  • Verify competitor registration details and update their status to "accepted" or "rejected".
  • "Accepted" competitors can view event details in the RBR Roadbook Reader app, including their sections, locations, and start times. Of course, tracks can be opened only at the competitor given start times.
  • Generate or manually set competitor numbers (under Event -> Competitors).
  • Generate or manually set competitor start times for each section. Start times can be adjusted at any time as needed (under Event -> Start list).
  • Updated Tracks (roadbooks and GPX trails) can be uploaded at any time, even if the event is already underway. The RBR Roadbook Reader app automatically updates the content.

One hour before the event start time:

  • "Event -> Live tracking" section will open.
  • Results and penalties are recalculated every 5 minutes.
  • Monitor competitors in real-time. Their location, speed, who has stopped, etc.
  • Results are displayed on the map with detailed penalties - who, when, where, what and how much was violated. See an example of this by browsing some of the previous events.
  • If necessary, assign additional penalties. Penalties can also be reduced.
  • Conclude with an awards ceremony
