How do I organize my first event?

Our event management tools give organizers full control over every aspect of their event. Currently supported event types:
  • Cross Country (roadbook navigation)
  • Cross Country (GPX trail navigation on map)
  • Cross Country (mixed: roadbook and GPX trail navigation combined in the same event)

No special GPS tracking devices required — tracking is handled through participants’ Android devices.

Step-by-step guide to setting up your event:

  1. Go to the My Events page and create your event.
  2. Set your event dates under Event → Dates.
  3. Write a compelling description highlighting what makes your event unique and why competitors should join. Add supplementary regulations if needed. How do payments and entry fees work?
  4. Create your first track — either a roadbook or GPX trail. Fix any track structure errors if prompted. Tracks can be updated at any time, even after the event has started.
  5. Plan the itinerary — define the journey, including classes and sections, and specify which classes navigate which sections.
    • Create one or more classes to accommodate different skill levels and/or vehicle types.
    • Create at least one section (also known as a "timed section", "selective section", "special stage", "special section" or "selective stage").
    • Assign sections to the appropriate classes.
    • Don’t have all the details yet? No problem — you can update everything later at any time.
    • Note: For events, no track PIN codes are needed. Track delivery and access are handled automatically based on your itinerary configuration and start list.
  6. Test-ride your tracks and event itinerary.
  7. Review and configure Penalty Rules — these can be updated at any time, and results and penalties will be instantly recalculated.
  8. Set Event Visibility to "Public" (or "Unlisted") — this publishes your event on the RoadbookRally Events page for competitors to discover and join. Share the event link to attract participants. You’ll receive email notifications for each new registration.

Before and on event day:

  • Review competitor registrations and update their status to "Accepted" or "Rejected".
  • Accepted competitors can view their event details in the RBR Roadbook Reader app, including sections, locations, and start times. Tracks can only be opened at each competitor’s assigned start time.
  • Generate or manually assign competitor numbers (under Event → Competitors).
  • Generate or manually set start times for each section. Start times can be adjusted at any time (under Event → Start List).
  • Event tracks can be updated at any time, even mid-event (to fix roadblocks or anything else). The RBR Roadbook Reader app automatically updates the content.

One hour before event start:

  • The "Event → Live Tracking" section becomes available, showing all participants who have opened a track in the app.
  • Monitor competitors in real time — their location, speed, stops, and more.
  • Results and penalties are recalculated every 5 minutes.
  • Results are displayed on the map with detailed penalty breakdowns — who, when, where, and what was violated. Browse some past events to see examples.
  • Assign additional penalties if needed, or reduce existing ones.
  • Wrap up with an awards ceremony!
